Integration between the Fénix system and the Science-IUL system

This page contains information about the data of teachers and researchers who are sent from the Fénix system to the Science-IUL system.

Since November 2017, information on the CV summary, academic qualifications and research interests has ceased to be completed in the Fénix Curriculum section and has been completed directly in Science-IUL.

Data sent from Fénix to Science-IUL

The following are the data that are sent by Fénix to Ciência-IUL regarding personal and institutional information and curriculum.

Of all the data indicated in this chapter, only a few need to be entered/updated by the teacher himself in Fénix. The following chapter shows the data that the teacher needs to enter/update in Phoenix.

Personal and institutional information

  • Number of employees;
  • Name of employee;
  • Username (login, for example xxxx@iscte-iul.pt);
  • Photography;
  • Institutional e-mail address;
  • Personal e-mail address;
  • Extension (see note 1.);
  • Office (see note 1.);
  • Locker (see note 1.);
  • Contact list;
  • Acronym of the organic unit of the workplace;
  • Name of the organic unit of the workplace;
  • Percentage of the contract;
  • Contract category;

Notes:

  1. The extension, cabinet and locker are updated in Fénix by the EU-Building and Resources Unit.

Resume

  • Address of CV DeGóis (see note 1.);
  • Information on the guidelines (see note 2.);
  • Information on the curricular units taught in the current academic year (see note 3.);

Notes:

  1. In order for the degóis CV address to be imported into the Fénix system and made available to Ciência-IUL, it is necessary that the e-mail address contained in the DeGóis CV is registered in the Fénix system.
  2. The guidelines are introduced in Fénix by the Schools Secretariats of the students’ courses.
  3. If the teacher detects situations regarding the curricular units taught about which he needs clarification, he/she should contact the secretariat of his/her School.

Update your photo in Phoenix

Updating photos in Phoenix goes through:

  1. the fenix itself to place/submit the updated photo file
  2. the Office of Communication and Image (GCI) approve the photograph submitted. 

After the photograph has been submitted by the teacher in Fénix, it will be shown in the personal area (of the teacher) with the status pending and submitted for approval by the GCI. As long as it is pending for GCI approval it will not be made available to other users or sent to Science-IUL. To see, the teacher must click on the Personal portal, then in the left side menu, click on Personal information and, on the page shown, you can verify that the photo will be shown with the status (Pending) on the right.

After approval by the Office of Communication and Image (GCI), the photo will then be made available in Fénix to other users and sent to Science-IUL ( the (Pending) state referred to will be deleted). To place/submit the photo in Phoenix, there are two possible ways. Thus, after authenticating in Fénix in https://fenix.iscte.pt and clicking on the Personal portal, the teacher must update the photo through the following procedure.

  • after authenticating phoenix on a https://fenix.iscte-iul.pt, click the Personal portal;
  • in the left side menu, in the Personal Area section, click Personal information;
  • on the page shown, click Submit photo;
  • on the page displayed, click Upload;
  • after clicking the button, a directory scanning window opens that allows you to indicate the file with the photo, so you must select it;
  • then click the Save button to submit the registration;
  • the photograph will then be submitted for approval by the Office of Communication and Image (GCI) so you should wait some time for its availability.

Update personal contacts

To update the personal contacts to be sent to Science-IUL, the teacher must perform the following procedures:

  • after authenticating phoenix on a https://fenix.iscte-iul.pt, click the Personal portal;
  • in the left side menu, in the Personal Area section, click Personal information;
  • on the page shown, on the Contacts tab:
  • to update your phone number(s):
    • if there is not already a mobile phone number:
      • in the line in the Mobile field, click Add;
      • on the page shown, fill in the indicated fields;
      • click the Save button to save the record.
    • if there are already one or more mobile phone numbers:
      • to change each of the numbers:
        • click Edit on the line of the number to change;
        • on the page shown, fill in the indicated fields;
        • click the Save button to save the record.
  • to enter new numbers or other data type:
    • click Create contact below the table;
    • on the page shown, fill in the indicated fields;
    • click the Save button to save the record.
  • to add an emergency contact:
    • click Create contact below Emergency Contacts;
    • on the page shown, fill in the indicated fields;
    • click the Save button to save the record.
