Room Reservation

All Iscte workers can make room reservation requests from the “Spaces” portal on the Phoenix platform.
The request is sent to the UGE which is in charge of assigning a room.
After assigning the room, it is possible to consult, in the Personal Portal of the person who made the request, the order information resolved (room(s), date and time) as well as the associated messages.
There is also the possibility to check the calendars of all appointments made for future dates.
Make Reservation Request
To make a room reservation request, perform the following steps:
- Access iscte’s academic management platform in https://fenix.iscte-iul.pt
- Select the “Login Page” tab.
- Authenticate using iscte account credentials (e.g. xxnes@iscte-iul.pt and password).
- Go to the “Spaces“ tab.
- Select the “Room Reservation” option in the “Orders” section in the left side menu.
- Follow the link “Make Reservation Request“.
- Choose the language of the “Subject“. You can add a new language.
- Indicate the “Subject“.
- Choose the language of the “Description“. You can add a new language.
- Place the order itself in the “Description“.
- Click “Submit“.
- The system displays detailed order information. See in Consult Detail of Reservation Request.
List of Booking Requests
To view the list of room reservation requests you must, in the Personal Portal:
- Select the “Room Reservation” option in the left side menu
If there is already at least one reservation request created in the system, the list of them is displayed.
For each booking request the system displays:
- Order creation date
- Subject of the request
- Order Status (In Process, Resolved)
- Indication that existing or non-markings associated with the application
- Number of new unread messages associated with the request

To consult the detail of the reservation request you must select the subject of the desired request.
In the detail of the reservation request it is possible to consult:
- Subject to request
- State
- Markings, if any
- Description
- Associated messages (whether they have been sent or received)

Edit Request
You can only edit the request if there are no associated tags.
To edit the request, you must select Edit Existing Order in the detail of the booking request.
On the Room Reservation Request(s) screen, the user must indicate:
- The language of the Subject
- The Subject
- The language of the Description
- The Description
You must then press the Submit button.

Send Message
If further information related to the room reservation request is required, a message can be sent.
To send a message you must:
- Enter the message
Then press the Submit button.

Send Message and Mark as Reopened
If the request is in the Resolved state and if the user does not agree with the booking made can send a message and reopen the reservation request.
To send a message and reopen the booking request you must:
- Enter the message
Then press the Send and Mark as Reopened button.
The process state changes to “In Processing” and a message is sent to the room markings.

Booking Booking Calendar
To view the calendar of room reservation appointments, you must, in the Personal Portal:
- Select the “Room Reservation” option in the left side menu
If there are markings made for future dates the calendar is displayed.
