Protocols

Protocol Management

The Office of International Relations can manage in Fénix the cooperation protocols between national and foreign universities. For this purpose, the Protocols feature was created on the Office of International Relations portal.

Search protocol

To research a protocol of cooperation between universities in Fénix, you must perform the following procedures:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click Protocols;
  • at the bottom of the page displayed, all existing protocols are listed, so to search and obtain information only from a protocol, on this page, in the Search Protocols section, you must indicate the search criterion(s) in the fields:
    • No – no . that was assigned to the protocol when it was created in Fénix;
    • Assets in the year;
    • Assets;
    • Inactive;
    • Partner;
    • Area of Study;
    • Start date;
    • End date;
    • Signature date;
  • click the Search button , and then the page will be updated with the protocols found.

Insert new protocol

To enter a cooperation protocol between universities in Fénix, you must carry out the following procedures (the procedures indicated in steps 1, 2 and 3 are carried out sequentially):

Step 1: Enter protocol data

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click Protocols;
  • on the page shown, in the Protocols section, click the blue link Insert new protocol;
  • on the page shown, fill in the following fields:
    • No – no . that was assigned to the protocol when it was created in Fénix;
    • Start date;
    • End Date;
    • Signature date;
    • Protocol type(s);
    • Area of Study;
  • click the Next Step button >> to pass step 2;

Step 2: Choose guardians

  • then, on the page presented, the internal and external responsible persons must be indicated, performing the following procedures by each responsible person until all those responsible are inserted:
    • for internal guardians:
      • fill in the Type field;
      • fill in the Type of Guardian field;
      • fill in the Name field;
      • click the Insert button.
    • for external guardians:
      • fill in the Type field;
      • fill in the Name field;
      • click the Insert button,
        • if the person’s name is not yet entered, the warning will be shown.. and
        • you must click the Create External Person button;
  • on the page shown, in the Unit Name field, indicate the name or part of the name of the institution so that it is shown the list of institutions that are already inserted and choose the institution to which the external person being introduced is connected;
    • if the name of the institution is not yet entered, the notice will be shown.. and
    • you must click the Create External Drive button;
  • then you must fill in the Partner Country field;
  • click the Insert button;
  • click the Next Step button >> to move on to step 3;

Step 3: Choose unit

  • then, on the page presented, the External Units (Partners )must be indicated, performing the following procedures by each partner institution until all the partner institutions of the protocol in question are inserted;
    • in Add unit must be filled in the following fields:
      • Type;
      • Name;
    • click the Insert button;
  • when all partner institutions are inserted, click the Create Protocol button;
  • from this moment the protocol is created in the system and, on the page presented, if necessary can be changed the protocol data (see the Edit Protocol section of this support manual).

Change data from a protocol

To edit the data of a protocol of cooperation between universities in Fénix, you must perform the following procedures:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click Protocols;
  • at the bottom of the page displayed, all existing protocols are listed, so to edit a protocol, in the list of protocols shown, click on the end of the line of the protocol you want to edit;
  • on the page shown, the following protocol data can be changed:
    • the Data section of the protocol, click  to change the data indicated for the protocol and change the desired data;
    • in the Responsible section , click to change the responsible persons indicated and change the desired data;
    • in the Units section, click (Manage units) to change the indicated institutions and change the desired data;
    • in the Files section, click (Manage files) to insert files (.PDF signature document or protocol information).

Management of External Units

Search external institution

To search for an external institution in Phoenix, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click External Institutions;
  • on the page shown, you must indicate the search criterion(s) in the fields:
    • Name;
    • Acronym;
    • Type;
  • click the Submit button and then the page will be updated with the institutions found.

Create an external institution

To create an external institution in Phoenix, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click External Institutions;
  • on the page shown, you must perform a country search indicating in the Type field the Country option;
  • at the bottom of the page shown, all existing countries are listed, click the blue link referring to the country name of the institution you want to create – if the country does not exist in Fénix, you should create it (see the section of this support manual Create country);
  • on the page shown, click the link corresponding to the type of institution you want to create;
    • Create university;
    • Create school;
    • Create department;
  • on the page presented in each type of institution, fill in the requested data and click the Submit button;
  • at this time the institution is already created and the system re-shows the page with the updated list of institutions, which exist in Fénix, the country you indicated.

Change data from an external institution

To edit the data of an external institution in Phoenix, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click External Institutions;
  • on the page shown, you must perform a search by institution indicating in the Type field the option of the institution type;
  • click the Submit button and, on the page will be displayed, the list of institutions of the type that indicated that they exist in Phoenix;
  • then click the blue link corresponding to the name of the institution whose data you want to change;
  • on the page displayed, click Edit Information;
  • on the page displayed, change the data and click the Submit button.

Create country

To create a country in Phoenix, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click External Institutions;
  • on the page shown, you must perform a country search indicating in the Type field the Country option;
  • click the Submit button;
  • at the bottom of the page shown, following the list of existing countries, click the Blue Create Country link;
  • on the page shown, fill in the fields:
    • Name;
    • Code;
  • click the Submit button;
  • at this time the country is already created and the system shows the page with the country information.

Change a country’s data

To edit a country’s data in Phoenix, you must do the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click External Institutions;
  • on the page shown, you must perform a country search indicating in the Type field the Country option;
  • click the Submit button;
  • on the page displayed, with the list of existing countries, click the blue link corresponding to the name of the country whose data you want to change;
  • on the page displayed, click Edit Information;
  • on the page displayed, change the data and click the Submit button.

Management of Areas of Study

List the areas of study

To list the existing areas of study in Fénix, you must perform the following procedures:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click Study Areas;
  • on the page shown, all existing study areas in Phoenix are listed.

Create a study area

To create a study area in Phoenix, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click Study Areas;
  • on the page shown, in the Create new Study Area section, fill in the fields:
    • Name;
    • Agreement;
    • Code;
  • click the Submit button;
  • at this point the study area is already created and the system updates the list of areas shown on the page.

Change data from a study area

To change the data for a study area in Phoenix, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click Study Areas;
  • on the page shown in the Existing Study Areas section, click Edit at the end of the study area line whose data you want to change;
  • on the page displayed, change the data and click the Submit button.

Data management of external managers

Create phoenix access data from an external manager

To create the phoenix access data from an external guardian, you must perform the following:

  • authenticate to Phoenix (https://fenix.iscte.pt);
  • click on the Portal Office of International Relations;
  • in the left side menu, in the Protocols section, click External Institutions;
  • on the page shown, you must perform an institution search;
  • click on the blue link corresponding to the name of the institution to which the responsible person is associated with the data whose data you intend to create;
  • on the page displayed, click the blue link corresponding to the person’s name;
  • on the page shown, in the Responsible Edit section, fill in or update the following data:
    • Name;
    • Gender;
    • Date of Birth;
    • Doc type. Identification;
    • Doc’s number. Identification;
    • Nationality;
    • Email;
    • Mobile phone;
  • click the Edit button;
  • at this time, phoenix access credentials can already be created, so on the same page, before the Edit Responsible section, click ;
  • credentials are created, and on the same page, the link is replaced by the user name information created for the external parent:
